How to dispose of Equipment Inventory

UH currently has 2 types of inventory systems. Equipment over $5000 is in the KFS system. Anything under $5000 is in the old system. In order to dispose of equipment in the KFS system, you must be given access to the Assets. If you go into the KFS system and access a piece of equipment via the Decal No. (Tag Number) and you do not see the "edit" option, you must contact Natural Sciences to request your access to Asset.

Disposal of Equipment over $5000 value

  • URL: kfs.hawaii.edu
  • Login to the KFS system
  • Click on Asset
  • Enter the Decal no. in Tag Number field
    • Click on search
    • Only one records should be found
  • Click on editto view and modify this record
    • If you don't have the edit option, you don't have permission to access assets, contact NatSci
    • If you don't see Asset Detail Info, click on show
    • The left side is the Old fields and the right side is the Newfields
      • Make changes to the New side
  • At the top, in the Description field, type in "075 - Downgrade equipment nameTag#_decal number_
    • substitute equipment name and decal number
    • eg 075 - Downgrade Canon Printer Tag#110780
  • In the Explanation field, type "Downgrading condition of the equipment namein order to retire asset"
    • eg Downgrading condition of the Canon Printer in order to retire asset.
  • In the New Asset Condition, change it from Good to Scrap or Poor.
  • Setting up Chair to approve disposal
    • Scroll down to the Ad Hoc Recipients tab, click on the showbutton if the fields are hidden.
      • In field Action Requested select APPROVE
      • In field Person enter plam
      • Click on Add button
  • Record the Doc Nbr for future reference
  • Click on Submit button
  • You will not receive an acknowledgment email
  • Please Dr. Lam by email to give him a heads up that he needs to approve the request.
  • To verify your work you can do a doc search to locate your document and
  • You will find your request under Route Log
  • We are waiting for Pui to approve then PPMO.
